Date20 Mar 2020

Important Information

Dear Clients,

Given the unprecedented situation regarding COVID-19 and the global pandemic recently announced by the World Health Organisation (WHO), amavat® wanted to take a moment to say a few words.

Due to this threat, which is continuing to grow, please be assured that the health and well-being of our colleagues, clients, networks and their families are of the utmost importance to amavat®. In the coming days and weeks, we will continue to monitor and follow guidance from government and health authorities both in Poland and Germany, and the wider EU. Based on factual information we will make any changes necessary to ensure the safety and health of our colleagues. And ensure that our clients will have uninterrupted access to the usual first-class amavat® experience, as well as access to our team of dedicated employees.

We of course have been proactively communicating to our colleagues about common-sense hygiene practices to try and halt the best we can the spread of this virus. This is a very challenging time and our aim is to keep giving our clients the ability to access all our services. Currently we have allowed colleagues affected by childcare and educational institute closures to work from home, so that their family environment is safe and looked after.

Continuing to support our colleagues and to serve our clients

Across our communities we will be facing unprecedented disruption and uncertainty, in particular around the availability of goods and services. On a daily basis we will take continued steps to ensure that you continue to feel safe and looked after. Now, more than ever we need to stay calm, be resourceful, and do what we do best: focus on supporting each other, meeting the changing needs of our colleagues, and on serving our clients.

Should an outbreak result in the closure of any of our offices, please be assured we have a ‘Business Contingency Plan’ in place to enable amavat® to continue providing you with uninterrupted service. Thanks to our best in class IT infrastructure, we provide the tools to enable all amavat® team members to work remotely and effectively, at a high level and in accordance with our ISO accredited security. This will enable our colleagues at our company and at our amavat® partners to meet your business needs during possible office closures or quarantine.

Important information for our clients

We have to inform you, that timely registration for VAT ID in the different countries, as well as the clarification of questions and applications could be a problem, as the tax offices in many countries are currently not functioning properly. We therefore ask you for a little patience. The monthly reports are not affected by this.

We would also like to inform you that for reasons beyond our control, consisting of the fact that air transport and delivery to and from abroad by the Polish Post Office is temporarily restricted, we are going into ‘emergency mode’ and we kindly ask you to send your documents as scans via e-mail and to send the originals only when the delivery services and the Polish Post office are working normally again. For the time being please suspend sending the originals until the normal service of courier companies and the Polish Post Office is restored. During this time, we will work with the scans made available to us in order to protect our client’s interest and fulfil the obligations imposed by the authorities.

Keeping you informed

As we continually monitor the situation, be rest assured that we will provide updates via email, or our social media accounts and websites, if we deem it necessary. We will provide the latest available information about changes in working conditions or services.

We at amavat® will do everyrhing we can to provide the best possible service to our clients.

You can contact us by email at any time. Our contact people are available to provide you with further information – michael.grimm@amavat.eu and agnieszka.wagner@amavat.eu.

We know this will pass in its own good time, however we do require to be attentive to lessen the impact. We very much appreciate your continue support and the trust you place in us.

Stay safe, stay well, and take care.

Sincerely,
Your amavat® Team
